User & Authorization Management![]() |
Enables companies to choose any combination of authorizations, from super users who have all authorizations, to users with different display and change authorizations in the different modules, to users who have no system authorizations at all.
When an authorization is defined, the user chooses between granting display authorization, granting change authorization, or excluding a user from a function altogether. It is also possible to define whether a user is authorized to perform certain actions -- for example, to award a discount in a specific amount, to change prices, to access confidential accounts, and so on. |

Data Ownership![]() |
Enables managers to determine which documents could be viewed and updated by regular users in SAP Business One. Data ownership is relevant only for users who are not defined as Super Users in the Define Users window. This way, managers (that is super users) can control the data accessible to each of their employees. Ownership can be granted for every document and even at the document row level. Data ownership is maintained according to the data defined for your employees in the Human Resources module. Log of Changes - Enables the user to track changes that were made in authorizations and in different documents. Each time a user updates the authorizations or one of the documents, SAP Business One creates a new instance of the authorization window or the document window and saves it, along with the date of the update and the user who made the update. |

The Initialization Wizard guides the user step by step through the setup of the database at the first installation of the system. It allows defining the basic settings, such as business unit, project or employee number format, project and employee groups, allowed hierarchy depth etc. |

ProjectManagement Authorizations![]() |
Data security has top priority in granting access rights to the database. Pre-defined authorization limits ensure that each user gains only access to data they need, i.e. employees can be granted only access to program functions that they require for their daily work. Moreover, data can be restricted to entitled user groups. The project management solution makes a distinction between the following authorizations:
User Groups - Each user has to be assigned to one or more user groups. The assignment decides on the user’s access rights and menu authorizations. When installing project management, standard user groups (administrator, accountant/controlling, project manager, cost rates, normal user) already exist. However, users are able to adapt already existing groups to their specific needs.
Menu Authorisztions - Menu authorizations are used to define the user groups which should have access to the menu items of the main menu. The menu authorizations for the Fat Client and the Web Client of the project management solution are made in the main program.
Form Authorizations - Form authorizations are used to define the user groups which should have access to individual info screens on totals. Read/write permission for the info screens on totals can be granted.
Authorizations: Totals - This authorization concept allows defining the individual info screens on totals to which a user group should have access.
User Administration - The user administration lists all users that have a user account in the project management solution. It provides information on the group assignment of respective users and includes different indexes (e.g. authorization settings, time sheet entry display, Web Client) for user-defined settings. |
